Custom Inventory & POS System for Jewellery Retail: What Off-the-Shelf Tools Get Wrong

Gold rate integration, making charges, hallmarking records, and customer KYC — standard POS systems fail jewellery businesses. Here's what a custom system addresses.

Jewellery retail has unique operational needs that generic POS systems like Marg or Vyapar fail to handle — real-time gold rate updates, making charges per design, wastage tracking, and HUID-based hallmark certificate management. 1 Why Standard POS Systems Fail for Jewellery

Generic POS systems are built around a simple model: fixed-price item → quantity → total. Jewellery pricing doesn't work this way. The price of a 22-carat gold necklace depends on: live gold rate (updated hourly), weight in grams, making charges (flat or percentage), wastage percentage, stone charges, and GST (3% on gold, 5% on making charges — taxed differently).

None of the popular Indian POS tools — Marg, Vyapar, Retail POS Plus — handle this correctly. Shopkeepers end up maintaining a parallel Excel sheet for jewellery billing, which creates reconciliation nightmares and compliance risks.

2 HUID Hallmarking Integration: A Mandatory Compliance Requirement

Since June 2021, BIS hallmarking with HUID (Hallmark Unique ID) is mandatory for all gold jewellery sold in India. Every piece must have a 6-character alphanumeric HUID that is registered on the BIS Care portal and printed on the invoice.

For a jewellery retailer with 5,000+ SKUs, managing HUID records in Excel is a compliance time-bomb. Our custom system maintains a HUID register linked to each inventory item. When an item is sold, the HUID is automatically printed on the bill and logged in the compliance record. Unsold items can be batch-verified against BIS records.

3 Customer KYC and Old Gold Exchange (OGE) Management

Jewellery businesses handle large cash and gold transactions that require KYC under PMLA (Prevention of Money Laundering Act). Any transaction above ₹50,000 requires PAN card collection. Transactions above ₹2 lakhs in cash are prohibited.

Old Gold Exchange — where customers sell old jewellery against new purchase — requires weight measurement, purity assessment, and accurate pricing. Our system manages OGE as a separate module: incoming old gold is weighed, purity tested (melting wastage estimated), net value calculated at current gold rate, and applied as credit against the new purchase invoice.

4 Repair & Order Tracking: The Workshop Module

Beyond billing, jewellery retailers operate a repair and custom-order workshop. Customers bring items for sizing, stone setting, polishing, or custom design work. Each job requires tracking: item description, current condition, requested work, target completion date, advance payment, and final delivery.

Our workshop module assigns each job a unique job card with barcode. The item is tagged physically with the barcode label. Status updates (received → in work → quality check → ready for delivery) trigger WhatsApp notifications to the customer automatically.
